Facility rental FAQs

Q: Can I use my own caterer?

A: Yes. The Gardens has several caterers we work with often that are familiar with the logistics of having an event in Ford Park and at the Gardens. Other caterers are permitted as long as they are familiar with the venue. Our team will provide a list of preferred vendors; it is highly encouraged to use a caterer from this list.

The Gardens does not have a full kitchen and access to counter space and refrigerator may be limited or unavailable.
Vendor access is restricted to 2 vehicles allowed into the park to unload/pick up. Cars then have to be moved to the parking lot.

Q: What rental hours are available?

A: Rental hours are available from 9am – 9pm. Rental time is booked by the hour. Rates change based on time of day and guest count. Please see the policy document above. Additional rental hours may be added on to your package should you find you need more time, availability contingent.

Please include the time you or your team needs to setup/breakdown the event as part of your rental time.

Q: Where do my guests park?

A: Parking is available at Ford Park parking lot which is about a 5 minute walk to the venue. Town of Vail enforced rate of $2/hour, first hour is free, max $10 per day. In the summer, there is a $20 parking fee during events being held in Ford Park. Check the Town of Vail Event Parking schedule.

The Gardens are located in Ford Park to the east of the Vail Village parking structure, and is about a 10-minute walk. Town enforced rate of $2/hour, first hour is free, max $10 per day. Free after 3pm.

Designated vendors can unload/load for 15 minutes at the venue via Betty Ford Way and then park in Ford Park parking lot.

Your hotel may have a shuttle that could drop your guests off at the Ford Park bus stop. The Gardens are accessible by the free in-town buses, as well.

More information is available to plan your visit.

Q: Is there an event planner familiar with the Gardens?

A: We are currently growing our list of event planners that are intimately familiar with the Gardens.

Q: Will there be sound in the background of my event?

A: Gerald R. Ford Amphitheater is located directly next to the outdoor botanic gardens. Because of this, we do not host ceremonies in the outdoor gardens as there will likely be performances, soundcheck or practicing occurring at any time of the day as well as large crowds in the park. We are unable to coordinate designated quiet times. Please see the Ford Amphitheater’s calendar for their show schedule and note that it is continually updated.

The Rooftop Terrace, located above the Education Center, is further away from the Amphitheater and less affected by sound and is a private area.

Q: Is there an inclement weather backup?

A: Short answer, no. The Rooftop Terrace in an open-air venue. It is mostly covered by a shade structure with a section of dropdown walls. Under the shade structure stays dry. Guests are able to wait out inclement weather in the Education Center, but no event set up is permitted.

Events early or late in the season could have chilly weather and less light. Heat lamps are permitted on the Rooftop Terrace and can be rented by Event Rents.

Q: When must events end?

Events must be cleared and cleaned up by 9pm.

Q: What is the guideline for hiring bartenders for our event, can we purchase our own liquor?

A: You must hire a TIPS (Training for Intervention Procedures) certified bartender. You may purchase your alcohol and then a TIPS trained bartender is required to serve the alcohol to your guests. This is a State of Colorado alcohol service law.

Q: When can I access the site for set-up? What will be set-up ahead of time?

A: You are able to start setting up for your event at the beginning of your rental time. Tear-down and clean up must be completed by the end of your rental time with rental items being returned to original placement and condition to avoid additional fees. You are responsible for the set-up and tear-down of the tables and chairs. It is possible your caterer or planner does the set-up and tear-down for you. The amount of time you need for set-up prior to when guests will arrive and tear-down after your guests have left varies on the details of your event.
